🔒 This app stores all data locally on your device only. We do not collect, transmit, or have access to any data you enter.

1. Who We Are

Clinitask is a clinical task prioritisation tool developed as an independent software application. For the purposes of UK GDPR and the Data Protection Act 2018, the app operates purely as a local-device tool. No central data controller processes your data — you are the sole data controller for any information you choose to enter.

2. What Data Is Stored

The app stores the following data locally on your device using your browser's or device's local storage. This data never leaves your device:

Task titles, references, priority levels, and due times you create
Handover patient entries and associated notes
Ward board configuration (bed count, bed details)
App settings and preferences (e.g. notification preferences)
A flag recording that you accepted the onboarding disclaimer

⚠️ Important: You must not enter patient-identifiable information such as patient names, NHS numbers, MRNs, hospital numbers, or dates of birth. The app is not designed or approved for storing patient-identifiable data.

3. How Long Data Is Retained

Open tasks: Automatically deleted after 24 hours
Completed tasks: Automatically deleted after 7 days
Handover patients: Retained until you manually delete them
Ward board data: Retained until you manually clear it or uninstall the app

You can delete all locally stored data at any time via Settings → Privacy & Data → Delete All Local Data.

4. Data We Do Not Collect

We do not collect, transmit, or have access to:

Any data you enter into the app
Usage analytics or behavioural data
Device identifiers
Location data
Contact information
Any information from third parties

5. Permissions We Request

Microphone: Used only for the optional voice task entry feature. Audio is processed on-device by the operating system's speech recognition service. We do not retain, transmit, or have access to any audio recordings.
Local Notifications: Used to send you on-device reminders about handover tasks and due times. Notification content is generated locally and never transmitted.

6. Third-Party Services

The app uses the following platform services operated by third parties:

Android / Google Speech Recognition: If you use voice input on Android, audio may be processed by Google's on-device or cloud speech API. Please refer to Google's Privacy Policy.
Apple Speech Recognition (iOS): If you use voice input on iOS, audio may be processed by Apple's speech services. Please refer to Apple's Privacy Policy.

We do not integrate any advertising networks, analytics platforms, or other third-party data services.

7. Your Rights Under UK GDPR

Because all data is stored locally on your device and we have no access to it, most data subject rights are exercised directly by you:

Right of access: Use Settings → Export Local Data to download a copy of all stored data as JSON.
Right to erasure: Use Settings → Delete All Local Data to permanently remove all data, or uninstall the app.
Right to data portability: Use the export function described above.
Other rights: As we hold no data centrally, rights such as rectification, restriction of processing, and objection do not apply to us. If you believe your rights have been affected, contact us at privacy@clinitask.net.

8. Children

This app is intended for use by registered healthcare professionals only. It is not directed at or intended for use by children under 18.

9. Changes to This Policy

We may update this policy from time to time. The date at the top of this page indicates when it was last revised. Continued use of the app after changes constitutes acceptance of the updated policy.

If you have concerns about how your data is handled, you may contact us at privacy@clinitask.net. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO): ico.org.uk.
